Valencia Pickup Privacy Policy

Valencia Pickup provides pre-booked taxi, airport transfer and private chauffeur services in Valencia and across the Comunidad Valenciana. To pick you up on time and get you where you are going, we need a small amount of information about you. This policy explains exactly what we collect, why we collect it, who we share it with, and the control you keep over it at all times.

Who we are

Valencia Pickup is a licensed private transfer and taxi booking service operating in Valencia, Spain. We arrange airport pickups from Valencia Airport (VLC), port transfers, intercity journeys, hourly hire and business travel.

When you book a ride, request a quote or contact us, Valencia Pickup acts as the data controller for the information you provide, in line with the EU General Data Protection Regulation (GDPR) and Spanish data protection law (LOPDGDD).

Information we collect

Passenger details

  • Full name of the lead passenger
  • Email address and mobile number
  • Number of passengers, luggage and child seats
  • Company name and billing details for business accounts

Journey details

  • Pickup address and drop-off address
  • Date, time and return trip details
  • Flight, train or cruise number for arrival tracking
  • Vehicle class selected and any special requests

Technical details

  • IP address and approximate region
  • Browser, device type and operating system
  • Pages viewed and booking steps completed

Flight numbers and pickup addresses

A flight number lets us track your arrival and adjust the pickup time if your plane is early or delayed, at no extra charge. We use it only for that purpose and only around the date of your journey.

Your pickup and drop-off addresses are shared with the assigned driver so they can reach you. Drivers see the address, your name and your phone number — never your payment details.

We do not track your phone's live location. Any location data comes from the addresses you type into the booking form.

How we use your information

We use the information you give us to:

  • Confirm, schedule and dispatch your transfer
  • Assign a suitable vehicle and driver
  • Send booking confirmations, driver details and pickup reminders
  • Monitor flight arrivals so pickups stay on time
  • Take payment and issue invoices or receipts
  • Answer questions, quotes and complaints
  • Return lost property left in a vehicle
  • Prevent fraudulent or abusive bookings
  • Improve routes, pricing and website performance

Why we are allowed to use it

Under the GDPR, every use of your data rests on a legal basis:

  • Performance of a contract — to deliver the transfer you booked.
  • Legal obligation — to keep invoices and tax records required in Spain.
  • Legitimate interest — to keep our service safe, secure and reliable.
  • Consent — for marketing emails and non-essential cookies, which you can withdraw at any time.

Payments and billing

Online payments are handled by certified third-party payment providers. Card data is entered on their secure systems and is encrypted in transit. Valencia Pickup does not store complete card numbers or security codes on its servers.

For cash or in-vehicle card payments, only the transaction amount and booking reference are recorded. Billing records are kept for the period required by Spanish accounting and tax law.

Drivers and partner operators

At busy times or for larger groups, a booking may be fulfilled by a vetted partner operator working under our terms. In that case we share the minimum needed to complete the journey:

  • Passenger name and contact number
  • Pickup and drop-off address
  • Date, time and flight details
  • Passenger count, luggage and special requests

Partners and drivers are required to use this information for the assigned transfer only, and to delete it afterwards.

Who else we share data with

Valencia Pickup does not sell, rent or trade customer information. Limited data may be shared with:

  • Payment processors, to complete a transaction
  • Hosting and website service providers
  • Analytics providers, in aggregated form
  • Email and SMS providers, to send booking updates
  • Accountants, for invoicing and tax reporting
  • Police or authorities, where the law requires it

Cookies and analytics

Our website uses cookies to keep your booking form working, remember your preferences and understand how visitors move through the site.

  • Essential cookies that run the booking and quote forms
  • Preference cookies for language and currency
  • Analytics cookies that measure traffic and page speed
  • Marketing cookies that measure campaign performance

You can refuse non-essential cookies in the consent banner or block them in your browser settings. Essential cookies cannot be switched off without breaking the booking process.

Booking messages and marketing

Confirmations, driver details, pickup reminders and receipts are service messages tied to your booking. They are sent for every ride and are not marketing.

Offers, seasonal fares and newsletters are sent only if you opted in. Every marketing email carries an unsubscribe link, and you can also ask us to remove you at any time.

How we protect your data

  • Encrypted connections (SSL/HTTPS) across the whole site
  • Protected hosting with restricted administrator access
  • Role-based access, so staff see only what their job needs
  • Routine monitoring, backups and software updates

No system can promise absolute security, but we apply appropriate technical and organisational measures and review them regularly.

How long we keep it

We keep information only as long as there is a reason to:

  • Booking records — kept to support repeat trips, disputes and lost property claims.
  • Invoices and payment records — kept for the period Spanish tax law requires.
  • Enquiries and quotes — deleted once the request is closed and no booking follows.
  • Marketing contacts — kept until you unsubscribe.

Your rights

As a passenger, you can ask us at any time to:

  • Give you a copy of the data we hold about you
  • Correct anything that is wrong or out of date
  • Delete data we no longer need to keep
  • Restrict or object to certain uses of your data
  • Transfer your data to another provider
  • Withdraw consent for marketing or cookies

We answer requests within one month. If you are not satisfied with our response, you may complain to the Spanish Data Protection Agency (AEPD).

Lost property and in-vehicle safety

If you leave an item in one of our vehicles, we match your booking record to the driver and journey to return it. Details of the claim are kept until the item is returned or disposed of under our lost property terms.

Some partner vehicles carry dashcams for driver and passenger safety. Where recordings exist, they are held by the vehicle operator, kept for a short period, and released only for an incident, insurance claim or a lawful request from the authorities.

Third-party services and links

Our site connects to services such as payment gateways, maps, flight-tracking tools, chat widgets and social media. These providers process data under their own privacy policies.

We may also link to hotels, airlines, tour operators or partner websites. Valencia Pickup is not responsible for the content or privacy practices of any external site, so please review their policies before sharing information.

International transfers

Your data is stored and processed within the European Economic Area wherever possible. If a provider we use processes data outside the EEA, we make sure appropriate safeguards are in place, such as European Commission adequacy decisions or standard contractual clauses.

Bookings for children

Our services are intended for adults. Children travel with us often, and we welcome families with infant and booster seats, but bookings must be made and paid for by an adult.

We do not knowingly collect personal information directly from children. If you believe a child has submitted details to us, contact our team and we will remove them.

Changes to this policy

We update this policy when our services, tools or legal obligations change. The revised version is published on this page with a new update date, and continuing to use Valencia Pickup after that means you accept the updated terms.
