Valencia Pickup Terms & Conditions

These terms set out how Valencia Pickup arranges your ride, what we commit to deliver, and what we ask of you as a passenger. They cover pre-booked airport transfers and instant on-demand pickups alike, and they apply from the moment you confirm a ride with us.

About these terms

Valencia Pickup is a licensed passenger transport and booking service operating in Valencia, Spain. These terms form a contract between you (the customer) and Valencia Pickup (we, us, our) for every ride you book.

By confirming a ride through our website, by phone, by email or on WhatsApp, you accept these terms together with our Refund Policy and Privacy Policy. If you book on behalf of others, you accept these terms for every passenger in your party.

Words we use

Pre-booked ride
A journey reserved in advance for a set date and time, at a fixed quoted price.
Instant ride
A car requested for immediate pickup and charged on a live fare.
Lead passenger
The person named on the booking and responsible for payment.
Driver
A licensed driver working for us or for an approved partner operator.
Free waiting
The included period a driver waits at the pickup point before charges start.

How a booking is made

  1. You send us the route, date, time, passenger count and any extras.
  2. We quote a fixed price for that journey and vehicle class.
  3. You confirm and pay, in full or as a deposit where offered.
  4. We send a written confirmation with your booking reference.

A ride is only reserved once you hold that written confirmation. A quote, an enquiry or an unanswered message does not create a booking.

How an instant ride is dispatched

When you request an instant ride, we search for the nearest available driver. The contract begins when a driver accepts your request, not when you send it.

  • Instant rides depend on live availability and cannot be guaranteed.
  • The arrival time shown is an estimate, not a fixed commitment.
  • If no driver accepts, the request expires and nothing is charged.
  • You may cancel free of charge within 60 seconds of confirming.
Need certainty about timing? Book in advance. Instant rides are for convenience; pre-booked rides are for flights, meetings and anything you cannot miss.

Prices and quotes

Pre-booked fares are fixed. The price we quote includes the vehicle, driver, fuel, standard tolls, applicable taxes and airport access fees unless we state otherwise in writing.

Instant fares are calculated at the end of the trip from distance travelled, time taken and the rate in force at that hour. The estimate shown at booking is indicative and changes if the route or destination changes.

All prices are in euros (EUR). Where you pay in another currency, your bank sets the exchange rate and any conversion fee.

Charges added on the day

Some costs cannot be known when a ride is booked. These may be added to your final fare:

  • Waiting time beyond the included free period
  • Extra stops not listed on the original booking
  • A change of destination that lengthens the journey
  • Additional passengers or luggage requiring a larger vehicle
  • Special tolls, ferries or parking outside the quoted route
  • Cleaning charges where a vehicle is soiled

Anything chargeable is confirmed to you before it is applied, wherever circumstances allow.

Payment

Pre-booked rides are paid online at the time of booking, or by card or cash to the driver where agreed in advance. Corporate accounts may be invoiced under separate payment terms.

Instant rides are charged to the payment method on file once the trip ends. If a payment fails, we may suspend further bookings until the balance is settled.

Card details are handled entirely by certified payment providers. We never store full card numbers on our systems.

Vehicles and vehicle class

We assign a vehicle in the class you booked — standard, executive, van or minibus. Specific makes, models and colours shown on our website are examples, not guarantees.

If your chosen class becomes unavailable, we supply an equal or higher class at no extra cost. We never downgrade a booking without your agreement and a refund of the difference.

Passengers and luggage

The number of passengers and pieces of luggage must be declared when booking. Every passenger travels seated and belted, and drivers cannot carry more people than the vehicle is licensed for.

  • Standard allowance is one suitcase and one item of hand luggage per passenger.
  • Bikes, golf bags, surfboards, ski equipment and pushchairs must be declared in advance.
  • Oversized items may require a larger vehicle at additional cost.
If the group or luggage on the day exceeds what was booked, the driver may refuse to carry the excess and no refund is due.

Children and child seats

Spanish law requires children under 135 cm to travel in an approved restraint. Request infant seats, child seats or booster cushions when booking and we supply them free of charge, subject to availability.

Children count as passengers for capacity, including infants travelling on a lap. If a required seat was not requested and the driver cannot legally carry the child, the ride is treated as a no-show.

Pets and assistance animals

Recognised assistance and guide dogs travel free of charge and never need prior approval. Please tell us anyway so we can brief the driver.

Other pets are welcome when declared at booking and carried in a suitable box or carrier. Drivers may decline an undeclared animal, and cleaning charges apply if a vehicle is soiled.

Timing, traffic and journey duration

We plan every route with realistic time for Valencia traffic, and we recommend allowing a comfortable buffer before flights, trains and cruise departures.

Journey times are estimates. We are not liable for delays caused by traffic, accidents, roadworks, weather, demonstrations, police controls or any other condition outside our control.

For departures we suggest arriving at Valencia Airport 2 hours before a Schengen flight, and 3 hours before a long-haul flight or cruise departure.

Airport, port and station pickups

Give us your flight, train or cruise number and we track the arrival, adjusting the pickup automatically if you are early or delayed, at no extra cost.

Your driver meets you in the arrivals hall with a name sign unless a different meeting point was agreed. If you cannot find your driver, call us before leaving the terminal — leaving without contacting us counts as a no-show.

Waiting time

Pre-booked rides

  • Airports: 60 minutes free from actual landing
  • Ports and cruise terminals: 45 minutes free from docking
  • Train stations: 30 minutes free from arrival
  • Hotels and addresses: 15 minutes free from the booked time

Instant rides

  • 5 minutes free from the driver's arrival
  • Released as a no-show after 10 minutes with no contact

Waiting beyond the free period is charged at the published rate.

Changes, cancellations and refunds

Cancellation windows, dispatch fees and refund timings are set out in full in our Refund Policy, which forms part of these terms. In summary:

  • Pre-booked rides: free cancellation more than 24 hours before pickup.
  • Instant rides: free within 60 seconds, or before a driver accepts.
  • All cancellations must go through our booking team, not the driver.
  • No-shows are charged in full on either ride type.

Passenger conduct

To keep every journey safe, passengers must:

  • Wear a seatbelt throughout the ride
  • Follow reasonable instructions from the driver
  • Refrain from smoking or vaping in the vehicle
  • Refrain from consuming alcohol or drugs on board
  • Treat the driver and the vehicle with respect

A driver may refuse or end a journey where a passenger is abusive, threatening, heavily intoxicated or putting anyone at risk. No refund is due where a ride ends for these reasons.

Damage and cleaning

You are responsible for damage caused to a vehicle by you or anyone in your party, beyond the normal wear of a journey.

Where a vehicle needs specialist cleaning or is taken off the road — for spillage, sickness or damage to the interior — a cleaning charge is applied, based on the cleaning cost and lost driving time. We provide photographs and an itemised breakdown for any charge raised.

Lost property

Items left in a vehicle are held for 30 days. Contact us with your ride reference and a description, and we will match it to the driver and journey.

We are happy to return items by courier or an arranged handover; delivery costs are payable by you. We take reasonable care of anything recovered, but we are not liable for property left behind.

Licensing, insurance and safety

All vehicles used for Valencia Pickup rides hold the licences required to carry passengers in Spain, are insured for passenger transport, and pass the inspections required by law.

Drivers hold valid licences and are vetted before joining our network. Partner operators used at busy times are held to the same standards.

Our liability

We are responsible for delivering the transport service with reasonable skill and care. Our liability for any single ride is limited to the value of that ride, except where the law does not allow such a limit.

We are not liable for:

  • Missed flights, trains, cruises or appointments caused by events outside our control
  • Delays from traffic, weather, road closures, strikes or official controls
  • Loss or damage to luggage not caused by our negligence
  • Indirect losses such as lost earnings or non-refundable travel bookings

Nothing in these terms limits liability for death or personal injury caused by our negligence.

Events beyond our control

Neither party is liable for failing to perform where the cause is outside reasonable control — including severe weather, flooding, accidents, transport strikes, civil unrest, terrorism, epidemics or official restrictions.

Where such an event prevents a ride, we offer an alternative time or a full refund of that ride.

Accessibility

Tell us about wheelchairs, walking aids, mobility scooters or any assistance you need when booking, and we will assign a suitable vehicle and brief the driver.

Adapted vehicles are limited, so please give as much notice as possible. Assistance needs cannot always be met on instant rides.

Using our website

You agree to use valenciapickup.com only for genuine enquiries and bookings, with accurate contact details, and not to disrupt, copy or misuse the site or its booking system.

The content, branding, layout, text and images on this website belong to Valencia Pickup and may not be reproduced without written permission.

Your personal data

We collect only the information needed to run your ride, and we share it with your driver alone. Full detail of what we hold, why we hold it and the rights you have is in our Privacy Policy.

We never sell passenger data.

Complaints

Tell us within 14 days of the ride, with your reference, the date and a short description of what happened. We acknowledge every complaint and aim to resolve it within 14 days of receipt.

If you are not satisfied with our response, you may take the matter to the consumer authorities in the Comunidad Valenciana or use the relevant EU consumer dispute channels.

Governing law

These terms are governed by Spanish law. Any dispute is subject to the courts of Valencia, Spain, without affecting the rights you hold as a consumer in your country of residence.

If any clause is found unenforceable, the remaining terms continue to apply in full.

Changes to these terms

We may update these terms as our services, vehicles and pricing change. The version published here at the time you confirm a ride is the one that governs it, so nothing changes retroactively once you have booked.

Updates are posted on this page with a new revision date.
